Duties of the Marketing Administrative Assistant include, but are not limited to:

  • Assisting the Director of Marketing and coordinating the purchase of office equipment, marketing materials and any other business-related supplies and materials.
  • Assisting in the processing of invoices and ensuring that each vendor’s invoice is paid in a timely manner.
  • Gathering information about people who are interested in buying new homes by researching, data collection, analysis and strategic sourcing.
  • Managing all systems for database management, lead generation tracking, lead follow-up & all office administration.
  • Assisting in holding agent(s) accountable for conducting all agreed upon lead generation activities.
  • Helping to ensure that all agent activities are limited to listing property, showing property, negotiating contracts & lead generation.
  • Assisting in developing, reviewing and maintaining community print material and other promotional items
  • Managing and reviewing agent website(s), blog(s) and online listings.
  • Regularly assisting Marketing Director with maintaining & enhancing company’s social media presence.
  • Coordinating the preparation of all listing & open house flyers, graphics, signage and all other marketing materials.

Excellent computer skills are essential in this position, as the Marketing Administrative Assistant will regularly utilize Microsoft Office Suite, word processing programs, spreadsheets, presentation software and graphic design programs. Because this position may require the creation of brochures or flyers to showcase available properties, excellent writing skills are also necessary. A strong candidate for the role of Marketing Administrative Assistant should have strong organizational skills and be extremely detail-oriented, particularly when assisting with duties for a company that builds in several large communities.
